Campus Clinical is a mobile laboratory service supporting medical students and school medical clearance requirements. The organization helps students complete required lab work, documentation, provider review, and follow-up care before admission or attendance. Because its workflow involves students, providers, administrative teams, laboratories, and partner school stakeholders, Campus Clinical needed a configurable EHR platform that could support both clinical care delivery and a highly structured clearance process.

The Challenge

Campus Clinical needed an EHR solution that could support a workflow very different from a traditional outpatient clinic. The organization manages student populations across multiple schools and campuses, each with its own incoming student lists, clearance requirements, timelines, and administrative expectations. Relying on manual student entry, phone-based scheduling, email coordination, disconnected payment workflows, and separate lab result management would create administrative burden, slow throughput, and increase the risk of data errors. Campus Clinical also needed a simpler student experience, allowing students to initiate contact, view real-time appointment availability, schedule services, and pay online without staff involvement at every step. On the clinical side, lab results needed to move efficiently from a dedicated LIS into the EHR, trigger provider notifications, follow custom access-control rules, and become available through the patient portal when appropriate. The organization also required an EHR partner capable of providing ongoing server and system support.

Our Solution

MedSov implemented a customized EHR environment designed around Campus Clinical’s student clearance model. The deployment included MedSov platform configuration, custom development, patient portal workflows, LIS interoperability, provider notifications, role-based access controls, telehealth support, and ongoing infrastructure support. Rather than treating Campus Clinical as a standard clinic implementation, MedSov configured the system around the full lifecycle of student medical clearance.
Custom Student Importer
One of Campus Clinical’s most important operational needs was the ability to import students from each school efficiently. MedSov built a custom patient importer that allows Campus Clinical to bring student populations from partner schools directly into the system. This reduces manual data entry, improves consistency, and gives Campus Clinical a scalable way to prepare for each school’s incoming student cohort. For high-volume intake workflows, this importer helps administrative teams move from spreadsheet-driven processes to structured patient records while supporting faster onboarding and more reliable downstream scheduling and documentation.
Patient Portal for Intake, Scheduling & Payment
MedSov’s patient portal became a central part of the Campus Clinical workflow. The portal supports initial student contact, encounter scheduling, real-time appointment availability, online booking, and digital payment. This gives students a more modern and convenient experience while reducing administrative friction for staff. Instead of relying on manual scheduling coordination, Campus Clinical can present availability directly to students and allow them to complete the booking and payment process themselves.
Dedicated LIS Interoperability
Campus Clinical’s services depend heavily on laboratory data, so MedSov integrated the EHR with the organization’s dedicated laboratory information system. The integration allows lab results to be captured in near real time, helping providers access the information they need more quickly. Once results are received, they are routed into the EHR, displayed according to custom access-control configurations, and made available through the patient portal as appropriate. This helps Campus Clinical avoid delays that can occur when lab data is managed manually or through disconnected systems.
Custom Provider Notifications & Access Controls
Campus Clinical needed providers to know when lab results were available and ready for review. MedSov implemented custom notification workflows that alert providers when relevant results are captured from the LIS. This helps reduce the chance that results sit unnoticed and supports faster review cycles. MedSov also configured custom ACL-based data display, helping ensure that the right users see the right information based on their role and permissions. This supports privacy, workflow control, and operational clarity across the organization.
Telehealth & System Support
MedSov incorporated telehealth into the Campus Clinical workflow to support secondary encounters, follow-up care, clarification, and provider review when an in-person visit is not required. In addition to implementation and customization, MedSov provides server and system support, giving Campus Clinical a partner responsible not only for software configuration but also for the operational reliability of the environment.
